If your customers pay up front for their bookings, you can sell them packages of credits (for example 10 days of daycare). The credits go on the customer's account, and when a booking checks in, one or more credits are used to clear the cost of the booking. Credits work for daycare, nightcare, walks, drop-in, training, grooming and universal services. Packages and subscriptions are included on every KennelBooker plan.
Where to set up credits and packages
Credits and packages are on Settings > Packages & Credits, which opens the Credits and packages page. Only the services you have switched on in your settings appear there.
How to switch on credits for a service
Go to Settings > Packages & Credits.
In Which services use credits, switch on Sell Daycare packages (or Sell Walk packages, Sell Training packages and so on, using the names you have given your services).
For daycare, choose how credits are used:
Use a credit automatically for online bookings: credits are used on bookings pet parents make in the online booking portal. Without this a member of staff has to apply the credit by hand.
Use a credit automatically for bookings staff make: credits are used on bookings you make in KennelBooker.
Count hourly bookings in fifteen-minute credits (only shown if you price daycare by the hour): one credit covers fifteen minutes rather than a whole hour.
Nightcare, walks and drop-in have a Use a credit automatically option.
Click Save. A Packages card appears further down the page for each service you switched on.
How to add a credits package
On the service's Packages card (for example Daycare packages), click Add package.
Enter a Name and, if you like, a Description.
Enter the number of credits in Package Credits. For daycare you can instead switch on or Create Unlimited Package and choose how many days it lasts in Unlimited Package (use within X days): the customer can come as often as they like for that many days from the date of purchase.
Enter the Price.
For daycare, under Apply To, tick the one booking duration the credits can be used for: full day, half day, hourly, or your extended full or half day (shown with the names you use). A daycare package can only be linked to one duration.
Set the options you need:
Available Online: pet parents can buy it in the online booking portal.
Online System (Show to VIPs Only): only customers marked as VIP see it online.
VAT Exempt (or your tax name): no tax is added.
Accounting Code: the code used when you sync to your accounting software.
For nightcare packages, Use for Daycare bookings as well lets the credits pay for daycare too.
Click Save. You'll see "Package saved".
To change a package, click Edit beside it. To stop selling it, click Edit and then Delete; a deleted package can be brought back with Un-Delete. Untick Only show packages that are still valid to see deleted packages in the list.
How to add a credits package to a customer's account
When adding a booking: when you add a daycare booking, the booking wizard has a packages step where you can add a package to the booking.
On an existing booking: open the booking, click Add Products and choose the package from the list. The price of the package is added to the booking and the credits are added to the customer's account.
Without a booking: go to Menu > Sales (the POS System page). Add the package to the cart (packages are listed under Packages), click Checkout and choose the customer. The sale is linked to the customer and the credits are added to their account. You can take a payment straight away or leave the sale unpaid and record the payment later. Daycare, training, grooming and universal packages can be sold here.
How credits are used on a booking
When you check in a booking for a customer who has credits, the check-in popup shows Apply Credits, for example "Customer has 8 Credits Remaining - Use 1 Credit". If they don't have enough credits it offers to use what they have and pay the rest ("Use 2 Credits & Pay ...").
If you switched on the Use a credit automatically options, credits are used for you on those bookings.
If the customer has an unlimited package that's valid on the day of the booking, the package covers the booking cost.
Checking a customer's credits
The number of credits left is shown on the customer's page and in the Credits panel on their booking pages, split by duration (for example full day and half day).
To see every credit added to or used from a customer's account, open the customer and click the History tab. This is the place to look if a customer queries their credits.
To change the dates an unlimited package is valid for, open the customer's History page, find the package and click Edit. In the Package Date Change popup, change Valid From and Valid To and click Save.
Credits and packages in the online booking portal
Pet parents can buy packages marked Available Online from Products & Packages in the portal menu. That menu item shows when Sell products on Online Booking Portal is switched on in Settings > Online Booking Portal > Point of Sale.
The credits are added to the customer's account automatically. If you take online payments, they're added once the payment is made. If you don't take online payments, they're added straight away, so check that the customer has paid you for the package.
To offer packages while pet parents make a booking, switch on Show the 'Packages' step on the Booking Wizard in Settings > Online Booking Portal. Customers with an active daycare subscription aren't offered daycare packages in that step.
Credits are only used automatically on online daycare bookings when Use a credit automatically for online bookings is switched on (Settings > Packages & Credits). Otherwise a member of staff applies the credit.
Daycare subscriptions
If you use Stripe, you can also sell daycare subscriptions: the customer is billed on a repeating schedule and gets credits each period.
In Which services use credits, switch on Offer recurring subscriptions and click Save. This option only shows when Stripe is connected on your payment settings.
In the Subscriptions section, enter the Package Name and Price, and choose Billed every (weekly up to yearly), Credits for each period and Credits added (Weekly (Mon-Sun), Every 4 Weeks or Monthly (Calendar Month)). Choose a Stripe tax rate if shown, and under What the credits can be used for tick daycare and choose the Daycare Duration.
Click Create Subscription on Stripe and confirm "Create this subscription in Stripe? Once it exists its price cannot be changed - you would have to create a new one."
Signing a customer up to a subscription: subscriptions are started by staff, from the customer's profile.
Open the customer and go to the Subscriptions panel.
Choose the subscription in Pick Package.
If you want to delay the first charge, enter the number of days in Trial Days.
Click Subscribe. KennelBooker charges the card the customer has on file and the subscription starts.
The customer needs a card saved on their account first.
Click View Active Subscriptions to see who is subscribed. To stop a subscription plan, click Cancel and Delete. This can't be undone: customers on it stop being billed and lose any credits it was topping up.
What credits and packages don't do
The Credits and packages page doesn't include boarding, so boarding stays can't be paid for with credits.
A daycare package covers one booking duration only. To sell full-day and half-day credits, make one package for each.
A subscription's price can't be edited once it's created in Stripe. Make a new subscription instead.
Credits aren't the same as wallet funds. Wallet funds (money held on the customer's account, shown as Credit on Account on a booking) are a separate feature.
Credits and packages: frequently asked questions
Which services can I sell credit packages for?
Credit packages can be sold for daycare, nightcare, walks, drop-in, training, grooming and universal services. Switch each one on with its Sell ... packages option in Settings > Packages & Credits. Boarding isn't on the Credits and packages page.
Can I sell an unlimited daycare package?
Yes. When adding a daycare package, switch on or Create Unlimited Package and choose the number of days in Unlimited Package (use within X days). The customer can attend as often as they like for that many days from the date of purchase.
Do credits come off automatically?
Only if you switch it on. In Settings > Packages & Credits, daycare has Use a credit automatically for online bookings and Use a credit automatically for bookings staff make; nightcare, walks and drop-in have Use a credit automatically. Otherwise staff apply credits at check-in.
Can pet parents buy credits online?
Yes. Packages with Available Online switched on can be bought from Products & Packages in the online booking portal, when Sell products on Online Booking Portal is on in Settings > Online Booking Portal.
When are credits bought online added to the customer's account?
Automatically. If you take online payments, the credits are added once the customer's payment goes through. If you don't take online payments, the credits are added straight away and it's up to you to make sure the customer pays for the package.
How does a customer join a daycare subscription?
A member of staff signs them up. Open the customer's profile, go to the Subscriptions panel, choose the subscription in Pick Package and click Subscribe. KennelBooker charges the card the customer has on file and the subscription starts.
Are packages and subscriptions included on my plan?
Yes. Credit packages and daycare subscriptions are included on every KennelBooker plan.
Can I offer some packages to VIP customers only?
Yes. Switch on Online System (Show to VIPs Only) on the package. Only customers marked as VIP see it in the online booking portal.
How do I see how many credits a customer has left?
A customer's remaining credits show on their customer page and in the Credits panel on their booking pages. The full record of credits added and used is on the customer's History tab.
Can I add or remove credits by hand?
Yes, see "Manually Adjust Credits on a Customers Account" in Related articles.
What happens to the credits if a booking is cancelled?
When you cancel a booking that used credits, the cancel popup may show Leave Credits on Booking. Switch it on to keep the credits used (for example for a late cancellation); leave it off and the credits are returned. If a package was bought on that booking, the popup warns that cancelling removes the package from the customer's account and could leave them with a negative credit balance.
Can I set an accounting code for credit packages (QuickBooks or Xero)?
Each credits package has an Accounting Code field, so you can set the code your accounting software should use for that package.
Can I change the price of a subscription?
No. Once a subscription is created in Stripe its price can't be changed in KennelBooker. Create a new subscription with the new price and move customers onto it.
Credits and packages: common problems
I can't see a service on the Packages & Credits page
The Credits and packages page only lists services you have switched on in your settings. Switch the service on first, then come back to Settings > Packages & Credits.
I can't see Offer recurring subscriptions
Offer recurring subscriptions only appears when Stripe is connected on your payment settings.
I see "No Cards on File - please add a card to the customers account first"
A subscription charges the customer's saved card, so the customer needs a card on their account before you click Subscribe. Add a card to the customer's account first, then try again.
I see "Package must be assigned to one daycare duration category!"
A new daycare package must be linked to exactly one duration under Apply To. Tick one (full day, half day, hourly or an extended day). If you see "Package can only be assigned to one daycare duration category!", untick all but one.
I see "Please specify how many credits will be purchased!" or "Please enter a valid price!"
Enter the number of credits in Package Credits (or switch on the unlimited option for daycare) and a valid Price, then click Save. "Number of credits for the package needs to be greater then 0" means the credits box has 0 or less.
A credit wasn't used when the booking checked in
Check that the customer has credits for that booking's duration (a full-day credit can't pay for a half-day booking), and that the package covers that service. If you rely on credits being used automatically, check the Use a credit automatically options in Settings > Packages & Credits. You can apply a credit to a past booking by hand: see "Assign Daycare Credits to Past Bookings".
A customer's credit balance looks wrong
Open the customer's History tab to see every credit added and used. If it still looks wrong, contact support with the customer's name and the booking references involved.
